TERMS & CONDITIONS

Any person (“Client”) participating in any services offered by 5th Dimension Tennis shall, by such participation, be taken to have consented to the Terms and Conditions set out below. Where the Client is under 18 years of age, these Terms and Conditions are entered into on the Client’s behalf by, and are binding upon, their parent or legal guardian, and references to “Client” below include that parent or guardian where the context requires. For the purposes of these Terms and Conditions, ‘5th Dimension Tennis’ includes its Directors, employees, coaches, contractors, agents and authorised representatives.

PRICING

Coaching fees are reviewed periodically to reflect operating costs. Any fee adjustments apply only at the commencement of a new term. Fees will not change once a term has begun.

GROUP LESSON POLICY - PERSONAL ABSENCE / WET WEATHER

WET WEATHER:

Lessons proceed whenever possible. If a lesson must be cancelled due to weather, families will be notified by SMS where practical, generally at least 30 minutes beforehand. If no cancellation message is received, please assume the lesson is proceeding. A cancelled group lesson will receive a make-up lesson.

LESSON ABSENCE (DUE TO PERSONAL REASONS):

If a student misses a squad lesson due to personal reasons (e.g. school camp, holidays, illness) the coaching team will endeavor to provide make up lesson options for a maximum of 2 missed lessons per term.

A minimum of 24 hours notification to the coaching team is essential if you are missing a lesson. It is the sole responsibility of the student/ parent to enquire with coaching staff in regards to make-up lessons. The coaching staff cannot guarantee make up lesson time options that fit within each player’s individual schedule, but will endeavor to provide as many time options as possible.

Make-up lessons cannot be carried over to a new term.

SCHEDULING OF make-up lessonS: wet weather/ public holiday

Make-up lessons due to wet weather / or a public holiday will be held during the current Term, or during the following school holiday period.

The coaching staff will communicate the make-up lesson date via SMS notification or via email. It is the sole responsibility of the parent/guardian to note the scheduled time, reminders will not be provided.

If you are unable to attend the scheduled make-up lesson, it is the sole responsibility of the player/parent to contact the coaching team as soon as possible to enquire if other lesson times are available to complete the lesson within the CURRENT Term.

Whilst we will provide as many alternative make-up lesson options as possible within our weekly coaching schedule, we do not guarantee a make-up lesson will be available with each individual player’s personal schedule. Refunds are not permitted for non-attendance of make-up lesson times that have been offered.

PRIVATE/ SEMI-PRIVATE LESSON POLICY

Missed Private Lesson (Due to Personal Reasons)

Should you miss a lesson due to personal reasons (e.g. sickness / school camp etc) your coach will provide a maximum of 2 make-up lessons per Term. All further missed lessons will be forfeited and non-refundable.

Notification of Absence

A minimum of 24 hours' notice is required if you are unable to attend a scheduled private or semi-private lesson.

Where less than 24 hours' notice is provided, the lesson / lesson fee will be forfeited. However, in exceptional circumstances such as sudden serious illness, injury or a family emergency, the coaching team may, at its sole discretion, offer a make-up lesson; the coaching team is not obliged to do so. This discretion is limited to one late-notice absence per Term.

Clients are asked to be mindful that lesson times are reserved exclusively for them. When little or no notice of cancellation is provided, coaches are typically unable to offer that lesson time to another player, resulting in a loss of valuable coaching time. Providing notice is essential and assists the coaching team in managing lesson schedules fairly and efficiently, whilst also respecting the coach’s time.

Wet Weather cancellation

Should you miss a lesson/s due to wet weather cancellation by your coach, you will receive a make-up lesson during the current Term, or school holiday period.

Semi-Private (2:1) Lesson Make-Up Policy

If one player is unable to attend a scheduled semi-private lesson, but the other player attends, the absent player will be eligible for a group lesson make-up only.

A semi-private make-up lesson will only be offered if both players are available to reschedule the missed lesson together at an alternative day and time.

Player Rescheduling a Private / Semi-Private Make-Up Lesson

Once a make-up lesson has been scheduled, players may reschedule that make-up lesson due to personal circumstances once only for each missed lesson.

If the rescheduled make-up lesson is cancelled or rescheduled by the player or parent a second time, the make-up lesson will be deemed forfeited. No further make-up lesson, credit or refund will be provided.

This policy ensures coaches can effectively manage their schedules while providing fair and reasonable flexibility to all players.

Responding to Make-Up Lesson Requests:

Where a coach contacts a player or parent to arrange a make-up lesson, a response is required within 72 hours of the initial contact. If the coaching team makes at least two attempts, via two different contact methods, to organise the make-up lesson and receives no response, the make-up lesson will be considered forfeited.

This policy is in place to enable coaches to efficiently manage their schedules and maximise lesson availability for all players.

Expiry of Make-Up Lessons

All private and semi-private make-up lessons must be completed within 8 weeks of the original missed lesson date unless otherwise agreed in writing by the coaching team due to exceptional circumstances such as serious illness, where a medical certificate will be requested. Unused make-up lessons will expire after this period.

PAYMENT POLICY

Term invoices must be paid in full by the due date stated on the invoice. Enrolments with outstanding fees after the due date may result in the player's place being released and offered to another family.

5th Dimension Tennis does not offer split payments, monthly payment plans or lesson-by-lesson payments for Term coaching programs. Coaching places are reserved exclusively for each player for the duration of the Term, limiting availability for other prospective players. Full Term payment enables us to commit to coaching schedules, staffing, court hire and other operational costs associated with delivering the program.

REFUND/ CREDIT POLICY

As group & private coaching places are reserved for the full term, refunds, credits or partial term adjustments are not available for missed lessons, family holidays, change of mind, personal commitments or changes in circumstances. Your lesson place has been reserved for you for the entirety of the term on the basis of receiving payment in full, therefore limiting availability for other enquiring players. 

SERIOUS ILLNESS/ INJURY POLICY

Where a player is unable to participate because of a significant illness or injury, a credit towards a future term may be considered upon receipt of a medical certificate.

REGISTRATION POLICY

CLUB VENUES:

Unless otherwise notified, the coaching team will automatically reserve your weekly squad position for the following Term.

If a student is absent in the first week of Term without providing notification of absence and hasn't finalised the invoiced Term fee, you will be removed from the program.

SCHOOL VENUES:

Players are required to re-register by the noted due date each term, your spot is NOT automatically reserved based on previous term attendance. Spots in our Tennis in Schools programs are limited and in high demand. Spots are reserved on a first in best dressed policy. To avoid disappointment it is essential you re-register by the due date noted on the registration form (if not earlier) to secure your spot for the following Term.

PROMOTIONAL PHOTOS / VIDEOS

Photos / videos taken by the coaching staff of students playing in action may be used for promotional purposes on the 5D Coaching social media accounts. Efforts are made to not include the face of players in photos where possible. If you wish your child not to partake in photos please notify the coaching staff in writing.

MEDICAL & LIABILITY

I hereby authorise the staff of 5th Dimension Tennis to act for me according to their best judgment in any emergency requiring medical attention. I release 5th Dimension Tennis from any and all liability for injury or illness and costs, incurred while undertaking a program or event with 5th Dimension Tennis. The Client acknowledges that it is their responsibility to inform their medical advisor of their intention to participate in the Program, and warrants that by their participation that they do so in accordance with the advice of their medical practitioner.

The Client acknowledges that the Program and any exercises carries risks of injury and that they shall not hold 5TH DIMENSION TENNIS responsible as a result of any injuries sustained directly or indirectly to themselves or any other person during or after the Program. The Client acknowledges that they have informed 5TH DIMENSION TENNIS in writing of any condition (medical or otherwise) that would affect their ability to engage in any physical activity or the Program offered by 5TH DIMENSION TENNIS and that they will inform 5TH DIMENSION TENNIS in writing of any changes to their circumstances.

The Client acknowledges that during the conduct of the Program some physical contact may occur between the Client and members of 5TH DIMENSION TENNIS and/or other members of the Program and consents to that contact being made.

PRIVACY POLICY

Your privacy is important to us. The data collected from you will not be sold, exchanged, transferred, or given to any other company for any reason whatsoever, without your consent. The email address you provide may be used to send you information, respond to inquiries, and/or other requests or questions.
